Imagine that you work in a messy and disorganized office. Stacks of old paperwork, new projects, bills, folders, books, and magazines cover every surface. The desk drawers are equally stuffed and the filing cabinets are overflowing. When you walk in, it feels cluttered and overwhelming, you waste a lot of time each day just looking for the right files, and you get easily distracted by all the junk.
Then one day, you make the decision to get organized. There will be no more piles! You will touch each piece of paper only once. You will open the mail, read it, and either toss it in the trash or place it in an appropriate file. You will pay your bills immediately, and then file the payment stub. You’ll line up all of your books in a bookshelf on one wall, and you’ll either read your magazines right away and then place them in a storage folder or recycle them. You will frame your photos and hang them neatly along the walls.
Sounds great, right? But to do this, you first need to sort through all those piles, empty those drawers, and cull through the file cabinets. The desk and bookshelves need to be cleared of clutter to make way for the organized items. The process will take some time and attention, and everything will seem even more cluttered at first. You may be tempted to shove everything back in the drawers when you find out a colleague is coming over for a meeting!
But if you resist the urge to give up and really go through the cleansing process, you will have a much better chance of keeping your office organized going forward. And you will feel so much better. The energy you previously used to hunt down a particular letter or document can now be spent on getting your work done more efficiently so you can do more pleasurable activities outside of the office. The frustration you felt at being disorganized will disappear. You will be so inspired by your new clean office that it will be easier to keep it clean. The systems you put in place to organize your work will allow you to keep your office organized. Sure, every now and then, you might let a stack of mail sit for a day or two, but because you have a method for sorting and dispatching your mail quickly, you’re able to get right back on top of it, keeping it neat and
